Electronic signatures for the real estate sector: Scrive Becomes Aareon’s technology partner

Scrive has entered into a partnership with Aareon, one of Europe’s foremost providers of Software-as-a-Service (SaaS) solutions for the real estate industry. The goal of this partnership is to provide electronic signatures at every level of qualification via modern communication channels. This makes the process simple and efficient, offering a contemporary customer experience which can be fully integrated into selected ERP systems..

Founded in 1957 and headquartered in Mainz, Aareon offers a range of SaaS solutions that support real estate companies in the effective, sustainable, and user-friendly management and administration of their properties. Across Europe, more than 13,000 customers from the residential and commercial real estate sectors use Aareon’s software solutions to manage around 18 million units.

With its comprehensive property management system, Aareon covers the entire lifecycle of a property, from financing to sale. They divide their offerings into the product families of Manage, Pay, Sustain, and Engage, each focusing on different processes within the real estate sector. Through its Aareon Connect marketplace, Aareon enables real estate companies to easily create their own tailored digital ecosystems.

More efficient, paperless processes

One of the partnership’s goals is to make the future of the real estate sector even more sustainable and efficient, including further reducing paper use in contracts. The integration of Scrive’s e-signature solutions into ERP systems supports this by enabling customers to sign documents conveniently online anytime, anywhere, through an intuitive and user-friendly interface and fully digital workflows. In addition to enabling simple management of documents and location-independent access to them, this eliminates the need for printing, postal delivery, completeness checks, and manual scanning of documents.

Relevant documents include rental agreements, company contracts, deposit agreements, property ownership contracts, and SEPA direct debit mandates. Another benefit is faster and more efficient business transactions through flexible workflows. These workflows allow users to customise processes to their needs, such as sequential signing, signing groups, or setting expiration dates for documents. Document management features, such as real-time tracking, also ensure that all documents are signed and processed on time.

All levels of electronic signatures available

Through the integration of Scrive’s solutions, Aareon can offer its customers all levels of electronic signatures whether signing at a distance or on-site, ranging from standard electronic signatures, advanced electronic signatures (AES) and qualified electronic signatures (QES). Qualified electronic signatures are legally equivalent to handwritten signatures and are recognised as the most secure form of electronic signature under eIDAS in all EU member states. In Germany, QES can be used for contracts such as rent increase agreements (§557a BGB), indexed rental agreements (§557b BGB), fixed-term rental agreements (§550, §575 para. 1 BGB), and membership declarations for cooperatives.

Ideal for the real estate sector

The high quality and security standards of the Scrive platform, combined with the company’s extensive experience in the real estate industry, are demonstrated by 12 of the 15 leading Swedish real estate companies already using Scrive to meet industry standards and regulations, ensuring that electronically signed documents are legally binding and enforceable. Like Aareon, Scrive continues to develop its solutions with a forward-looking approach, aiming to advance the digitalisation of the real estate industry.

Scrive also places a special emphasis on security: all documents and transactions via Scrive are encrypted and securely stored in accordance with global security standards. This creates a reliable environment that eliminates most process errors. Documents signed with Scrive comply with global contract law requirements and are enforceable in court due to a unique anti-tampering process based on distributed ledger technology (blockchain). Each document signed with Scrive includes a comprehensive package of evidence with a detailed audit trail and a tamper-proof digital seal that can be independently verified, ensuring reliability without dependence on Scrive or any other party.

By integrating Scrive’s electronic signature solution into our Aareon Connect ‘Digital Signature’ offering, the contract process is significantly simplified. This allows our customers to save both time and costs in business transactions – a key value-add,” says Richard Hector, Managing Director of Aareon Connect.

Mads Rebsdorf, CEO of Scrive, adds: “The partnership between Scrive and Aareon is a significant step in ensuring that professionals within the highly regulated and increasingly digital real estate industry can work more efficiently and securely.”
